The information, the controls and the consequences of an error are different.

That is why assessing a company’s readiness starts with understanding what it wants to do with AI.

Choosing a tool or trying out an assistant is relatively simple. The difficulty comes when it becomes part of everyday work: giving it access to the right information, connecting it to existing systems, defining what it can do and making someone responsible for maintaining it.

Assessing AI readiness helps you understand those conditions and decide where it makes sense to move forward. A good assessment should end with concrete decisions about what to implement, what to prepare and which investments are worth making.

What being ready means

AI readiness is an organization’s level of preparation to implement and sustain artificial intelligence solutions. It includes technology, but also processes, people and the way decisions are made.

Having licenses available, for example, does not guarantee that teams know how to make the most of them. Having thousands of documents does not ensure that an assistant can give good answers either: they may be outdated, contradict each other or contain information that not everyone should be able to see.

Readiness is tested against a specific use. If we want to reduce the time it takes to answer internal questions, we need to know which questions come up again and again, where the answers are and how much effort the task takes today. With that information, we can assess which solution works and how to measure its contribution.

This makes it possible to start with a reasonable scope while other capabilities in the company are strengthened. Waiting until everything is solved can delay opportunities that are already viable. Moving ahead without checking the minimum conditions, on the other hand, can lead to a pilot that works in a presentation and fails in operation.

What to review

The assessment should bring together the people who understand the business problem, the people who do the work and the people who will have to support the solution. We can organize the review around seven areas:

Area

Question we need to answer

Strategy

What do we want to improve, and who is accountable for the result?

Data and knowledge

Do we have reliable, current and accessible information for this use?

Technology and tools

What can we build on, and what do we need to integrate or add?

Processes

How does the work change, and what happens when an exception comes up?

People

What do teams need to learn, and how will they take part?

Governance

Who authorizes the use, evaluates the results and decides on adjustments?

Security

Which data and actions will be allowed, and how will they be controlled?

Interviews help to understand the situation, but you also need to review documents, test access and check integrations. If an initiative promises to save time, we need a baseline of how long the work takes today.

Some signals help spot early where difficulties will arise: pilots without an owner, documents nobody maintains, information that has to be copied manually between systems, or teams that do not know which data they can share with an AI tool. Each one points to something that will need to be solved for the intended use.

Digital maturity levels can be useful to summarize the assessment, although an overall score says little about whether a specific project is viable. A company with AI experience may have an information source that is unsuitable for a new case. Another that is just getting started may have everything it needs to solve a well-defined problem.

The tools already in place and the ones used on the side

Before buying a solution, it is worth reviewing current licenses, ongoing pilots and planned investments. There may be features available that nobody is using, tools that overlap, or subscriptions that do not include the controls you need.

You also need to find out what teams are using on their own initiative. The use of AI tools without formal approval or oversight, known as Shadow AI, can fall outside the technology inventory.

Understanding it requires knowing which task each tool solves, what information it receives and why people chose it. This can reveal both data exposure risks and needs the company has not yet addressed.

The response may be to formalize a use, adjust its conditions or restrict it. If a tool is restricted, the team needs another way to do the work it was doing with it.

A real case: SLSQ Hub

Surf Life Saving Queensland, an organization dedicated to rescue and water safety in Australia, needed to make it easier for its volunteers to access information about memberships, training and certifications.

Working with Cumulus Technologies, it developed SLSQ Hub using Globant Enterprise AI. The platform brings together information and services for members, and lets them ask lifesaving questions with answers based on policies and procedures approved by the organization. The project also had to account for integration with an existing system and ease of use for people with different levels of digital experience (case published by GeneXus).

From an AI readiness perspective, the case shows how several conditions relate to each other: knowledge sources, integrations, process rules and user needs.

In an initiative like this, assessing readiness means checking which documents are official, how they are kept up to date and what information each person can access. It also requires defining how answers will be reviewed and which questions should be routed to a human team.

These are questions worth answering before expanding the use. A demo can show that the assistant responds; the assessment must determine whether its answers and the way it works are right for the job you want to entrust to it.

Building a roadmap

The scope of the assessment can be a single use case, an area or the whole organization. It is important to agree on it at the start, so the analysis goes deep enough to support decisions.

Based on the findings, initiatives should be compared by expected value, effort, risks and likelihood of adoption. For each one, the intended outcome, the pending conditions, the owners and the estimated cost should be clear.

With that, you can define a first implementation and set how you will decide whether to scale it up, adjust it or stop it. If the goal is to reduce questions to the support team, for example, you will need to measure how many the solution resolves correctly, how many require intervention and how much work it takes to maintain. Counting active users helps you understand adoption, but it is not enough to prove the result.

The cost should include licenses and usage, as well as integrations, information preparation, training and maintenance. A solution that saves time on one task may require extra work on another; that calculation is also part of the assessment.

The roadmap should reflect those dependencies. If the first step is updating documentation or resolving an access issue, it belongs in the roadmap with an owner and a deadline. That way, the assessment becomes work the organization can carry out.

At GeneXus Consulting, our Digital Roadmap service reviews the organization’s capabilities and needs and defines a roadmap with prioritized initiatives, resources and implementation stages. That framework helps place AI opportunities within business priorities and planned technology investments.

Next step

If your company is considering AI or already has pilots underway, we can help you decide which ones to take into operation and what you need to move forward.

Let’s talk

[75,78

post-5226","insights","type-insights","status-publish","has-post-thumbnail","hentry","categorias-transformacion-digital-en","categorias-evolucion-tecnologica-en
["GET
